How to Personalize a Product Demo Without a Sandbox

How to make a demo feel built for one buyer by editing names, numbers and copy on screenshots, without cloning your app or seeding a new environment.

A buyer pays more attention to a demo that shows their own world. Their company name in the header, numbers at their scale, the terms their team uses. The usual way to get there is a sandbox, a cloned copy of your app seeded with data for each prospect. That is a lot of setup for a single deal.

Short Answer

You can personalize a screenshot-based demo by editing what each screen says, rather than changing the data behind it.

  1. Record the flow once in a clean test account.
  2. Make a separate demo for the buyer, then replace names and change numbers on each screenshot.
  3. Swap the intro and end cards so they speak to that buyer.

Why Personalization Is Harder than It Looks

Personalization that requires engineering does not happen for most deals.

  • Seeding a new environment per prospect needs someone who knows the data model.
  • A sandbox needs maintenance as the product changes.
  • Live demos with real prospect data risk showing the wrong customer's records.

So most teams fall back to a generic demo, and the buyer has to imagine their own case.

What to Personalize

Not every screen needs it. Focus on what the buyer will notice.

Element Personalize? How
Company name in headers Yes Replace text
Totals and key figures Yes, at their scale Change a number
Industry terms in labels When they differ Replace text
Sample people's names Optional Replace text or blur
Intro card Yes Name the buyer and the goal
End card Yes Point at the agreed next step
Settings screens No Leave as recorded

How to Do It on Screenshots

A screenshot-based demo is a set of images with an editing layer on top. Editing the image is faster than changing the app.

  • Replace text covers a word or line with your own. Proovyt samples the screenshot around it so the new text sits in place.
  • Change a number swaps a figure without an image editor.
  • Label pins a short note anywhere, such as "Your team's view."
  • Blur hides anything that does not belong. It is baked into the pixels when you publish.

Keep your main demo on neutral data. Record a separate demo for each buyer and edit that one. Recording a short flow again takes a few minutes, and it keeps your main demo clean.

Keep It Honest

Personalization should show what the product would look like for the buyer. It should not show capabilities the product lacks.

  • Change labels and figures, not features.
  • Do not invent integrations or screens.
  • If a buyer asks for something you do not have, say so plainly.

An Illustrative Worked Example

This example is hypothetical. A seller of a fleet-tracking tool has a call with a regional delivery company.

  1. They record the flow again as a new demo for this buyer.
  2. They replace "Acme Logistics" with the buyer's name on four steps.
  3. They change the vehicle count from 40 to the buyer's fleet size.
  4. They replace "Shipments" with "Deliveries" because the buyer uses that term.
  5. The intro card says "Fleet tracking for your delivery team." The end card links to the pilot form.
  6. They share it with a password-protected link.

A 2-Week Rollout Plan

Week 1. Record your main demo on neutral data. List the elements that change per buyer, such as company name, key figures and industry terms.

Week 2. For the next few deals, record a buyer-specific version and edit only those elements. Note how long each takes, and trim the list if some edits add little.

Questions to Ask Before You Start

Answer these before recording. They take a few minutes and prevent most rework.

  • Which elements will the buyer notice first?
  • Is the main demo on neutral data that is safe to edit from?
  • Does any edit suggest a capability the product does not have?
  • Has every occurrence of the previous buyer's details been replaced?
  • Should this buyer's demo be on a protected link?

Where Proovyt Fits (Full Disclosure)

Proovyt is an interactive demo tool, and this is our blog.

  • Replace text, change a number, label and blur work on every screenshot, on every plan.
  • Password and expiring links are on Pro and Team.
  • HTML capture, in beta on Pro and Team, records the page next to each screenshot so a step's text can be edited as text.

Proovyt has no sandbox demos yet. There is no cloned copy of your app for viewers to explore on their own. See the product page, pricing and the Proovyt and Navattic comparison.

Common Mistakes

  • Personalizing every screen, which takes hours and adds little.
  • Editing the main demo instead of a separate one for the buyer.
  • Missing one occurrence of another prospect's name.
  • Showing a feature the product does not have.

The Bottom Line

Personalization does not need a cloned environment. Edit the words and figures the buyer will notice, keep the rest as recorded, and share it privately.

Frequently Asked Questions

Is a screenshot demo convincing enough without a sandbox? For showing a flow and a result, yes. A sandbox matters when the buyer wants to explore freely.

How long does personalizing a demo take? It depends on how many screens you change. Focus on headers, key figures and the cards.

Can I personalize at scale for many prospects? Proovyt has no automated personalization yet. Each buyer's demo is edited by hand.

Will the edited text look out of place? Replace text samples the screenshot around it so the new text sits in place. Review each step before sharing.

How do I keep the buyer's details private? Use a password-protected or expiring link on Pro or Team. See protecting customer data in demos.
